How to Use the Dance Studio Owner Financial & Revenue Suite Calculators

Welcome to your new financial command center. This dashboard includes three powerful calculators designed specifically for studio owners to price classes confidently, plan profitable events, and optimize tuition structures.

Here is a quick guide on how to get the most out of each tool.

1. True Class Cost Calculator

Stop guessing your prices. Know exactly what it costs to open the doors for a single hour.

What it does: This tool calculates the "Total Cost to Run" a specific class (including hidden overhead) and tells you exactly what you need to charge per student to be profitable.

How to use it:
  • Enter Direct Costs: Input your instructor's hourly pay and the duration of the class.
  • Room & Overhead:
    • Room Allocation: Estimate the value of the room per hour (e.g., if your rent is high, this number should be higher).
    • Overhead Markup: A standard percentage (usually 15-20%) to cover admin time, utilities, and insurance.
  • Set Your Margin: Enter your desired profit margin (e.g., 30%).
  • The Interactive Slider: Use the slider to adjust the "Class Size." Watch how the Recommended Price changes instantly based on how many students are in the room.

Key Insight: Look at the "Per-Student Break-Even" table.

  • Break-Even Price: The minimum you can charge just to pay the bills (0% profit).
  • Recommended Price: What you should charge to hit your profit goal.

2. Recital Profit Planner

Ensure your big show is a financial success before you sell a single ticket.

What it does: Recitals are expensive. This tool models your fixed production costs against your revenue sources (tickets and costumes) to project your Net Profit.

How to use it:
  • Fixed Costs: Enter your venue rental fee, staff/tech costs, and miscellaneous expenses (decor, programs).
  • Costumes:
    • Enter the number of participating students.
    • Input the Cost per Item (what you pay the vendor) and your Markup (profit per costume).
    • Note: The tool automatically calculates the final selling price for parents.
  • Tickets: Estimate your ticket price and expected audience size.

Key Insight: Keep an eye on the Projected Net Profit gauge at the top. If it turns red, try adjusting your ticket price or increasing your costume markup to get back in the green.

3. Tuition Tier Optimizer

See the real cost of your multi-class discounts.

What it does: This tool helps you model your monthly cash flow based on how many classes students take. It calculates the "Discount Impact"—the money you "lose" by offering bulk discounts versus charging full price for every class.

How to use it:
  • Base Configuration: Enter your standard monthly price for a single class (e.g., $65).
  • Adjust Tiers:
    • For 2, 3, or Unlimited classes, enter the Discount % you want to offer.
    • Enter the Student Count for each tier (how many students are currently enrolled at that level).
  • Review Totals: The bottom row shows your Total Monthly Revenue.

Key Insight: Check the "Discount Impact Analysis" box at the bottom.

  • Theoretical Max: What you would make if everyone paid full price for every class.
  • Discount Impact: The difference between the Max and your Actual revenue.
Use this to decide if your discounts are too generous or just right for retention.
